Pricing Schedule

Companionship

The companionship service may include:

  • airport navigation and check-in assistance

  • travel organisation and orientation

  • luggage assistance

  • companionship during flights or transfers

  • emotional reassurance while travelling

  • support to attend events or appointments

  • assistance with meals and daily routines

  • minimal mobility support

  • medication reminders

  • companionship and social engagement

Companionship support is best suited to you if your care needs are stable and non-complex. Companions will be able to take breaks and time off to create a relaxed travel arrangement for you. These trips can be possible with one carer for up to one month.

Companionship support is designed if you are largely independent but would benefit from reassurance, practical assistance, organisation and a supportive presence throughout your journey.

Complex Care

Complex Care support is designed for travellers who require a higher level of assistance due to mobility limitations, cognitive changes, medical conditions, behavioural considerations, or increased physical support needs.

This service may include:

  • personal care support

  • mobility and transfer assistance

  • continence support

  • dementia or memory support

  • behavioural reassurance and redirection

  • complex medication assistance

  • fatigue management

  • close supervision and safety monitoring

  • support to manage any changes in health needs while travelling

Your Complex Care companions are experienced in supporting travellers with increased care requirements while maintaining dignity, safety and comfort throughout the journey.

Registered Nurse Support

Registered Nurse (RN) support provides a premium level of travel assistance for you if you require clinical oversight or advanced healthcare support while you are away from home.

RN travel support may include:

  • clinical assessment and monitoring

  • medication management

  • wound care

  • complex health oversight

  • palliative travel support

  • post-operative travel support

  • coordination with healthcare providers

  • management of complex medical conditions

  • advanced documentation and health communication

Registered Nurse support is designed for you if you require professional clinical judgement and experienced healthcare support during travel.

10 Hour Day Support

10 hour day support is if you would like active support during key parts of the day, while the remaining hours of the 24 hour period can be off duty. The sleepover rate is included and your companion is available if needed. All support needed during their time off is charged at an after hours rate.

During off duty hours:

  • The companion will have access to a separate private space

  • Your companion is able to take needed breaks daily

  • The client will be safe without active support

  • No overnight or ongoing active care is expected unless necessary, and if so, will be charged at the after hours rate

This option works well for you if you require daytime companionship and assistance but remain relatively independent outside active support hours. This travel arrangement can be up to one month.

24 Hour Support

24-hour support provides you with continuous companion support available throughout the travel period.

This service is suitable for you if you require ongoing reassurance, supervision, organisation or intermittent support across the full day and overnight period, where care needs remain non-complex.

Please note:

  • Staff rest and meal breaks still apply under New Zealand employment obligations

  • Companions may take reasonable breaks while remaining available and ensuring traveller safety

  • This service is not designed for high intensity, continuous clinical or complex overnight care unless arranged prior to travel

  • Any time a break is not possible after 8 hours of support, after hours rates can apply

24-hour support allows you and your family the reassurance of having a dedicated companion available throughout the journey.

If your 24/7 care requires a high level of service, PHC can provide two staff members to provide continual quality support.

Extra Sleepover - no support needed

A sleepover rate applies when you need an extra night cover. Your companion remains nearby overnight and available if required, however, active overnight care is not expected.

You and your companion will have separate sleeping spaces and the companion may sleep uninterrupted unless support is unexpectedly required. Each time your companion is needed overnight a one hour charge applies. If they are needed over four times, the awake night rates will apply.

This option provides you with reassurance and overnight presence while allowing reduced overnight staffing costs where active care is not anticipated.

Awake Nights

Awake night support applies where:

  • Continuous supervision is required

  • Clinical monitoring is required overnight for care

  • Less than 6 hours of sleep is possible for your companion due to support needs

  • A separate comfortable bed was not possible

Awake night periods are rostered separately from sleepovers where possible. If an awake night occurs due to unplanned needs, companions will say if they feel okay to continue the following day. After hours rate may be charged until a 6 hour break has been given for the companion to sleep after an awake night.

If awake nights are expected to be scheduled, there will need to be a 6 hour break each day following the shift. If this is not possible two companions may be needed to work together and ensure rests are managed. Your support needs to be safely monitored at all times.

Retainer - Base Rate

The Retainer applies during unexpected travel disruptions or extended waiting periods that are outside standard unpaid off-duty time.

Examples may include:

  • Delayed or cancelled flights

  • Extended waiting periods

  • Interrupted travel connections

  • Situations where the companion cannot return home or undertake other work

The retainer ensures the companion remains committed and available to your travel arrangement, even when active care is not being provided.

Please note:

  • Standard off duty hours within your agreed support arrangements are not charged as retainer time

  • Retainer time does not replace scheduled care or support hours once travel has commenced unless otherwise arranged

  • Active support provided during retainer periods may incur additional care charges


Travel Costs and

Administration fees

Travel-related expenses incurred as part of the journey are charged separately and may include:

  • flights

  • accommodation

  • parking

  • taxis and transfers

  • public transport

  • ferry costs

  • mileage

  • meals while travelling

  • companion travel to and from Wanaka

  • destination-related travel expenses

A 10% administration fee is added to travel-related costs to help cover:

  • booking coordination

  • itinerary management

  • travel administration

  • scheduling adjustments

  • payment processing

  • risk management

  • emergency coordination and operational support

This allows PHC Travel to maintain a highly organised, responsive and professionally managed travel service.


Breaks for your companion

Where standard breaks are difficult due to travel circumstances, you will attempt to provide practical alternatives such as:

  • Airport rest periods

  • Café or meal stops

  • Shared supervision arrangements

  • Temporary relief from active support

  • A separate room for the companion should be provided where possible

  • Companion will need 6 hours rest after flight of 8 hours or over. If this is not possible business class may be required so companion can sleep while travelling.

Maximum Active Support Periods for 24 hour support

To reduce fatigue related risk you can provide companion with 1-4 hour breaks during the day in a separate space.

  • Maximum active support encouraged to be approximately 10–12 hours per 24-hour period where possible

  • After hours rates apply for over 8 hours with no more than one meal break

Registered Nurses

Maximum active clinical support: approximately 10 hours per 24-hour period

If support needs exceed these limits, you can:

  • Arrange a second companion

  • Change cover to awake night support with time off the next day

  • Implement additional recovery periods where possible

  • Adjust the schedule to include breaks when extra care is needed.


Hourly Rates

Additional hourly care rates may apply where you require support outside the arranged daily support, including unexpected delays, increased care needs or assistance during off duty periods.

PHC Travel companions are entitled to reasonable rest and unpaid off-duty time during your travel adventure. When support is required to continue during scheduled time off, or where adequate breaks cannot reasonably be provided due to your support needs or travel disruptions, an additional after hours loading of +50% may apply to the hourly rate. This can also apply if care is required after an awake night and before a 6 hour break can be given.

After hours rate applies when support is needed over 10 hours of work and until 6 hours of break can be given.

This helps ensure safe staffing practices, staff wellbeing, and our ongoing delivery of high quality support for you throughout the journey.
